WHERE ARE WE STAYING?

6 bedrooms, 4.5 bathroom (8 total beds) house in the NC mountains!

TRANSPORTATION

By Plane

: The RDU Airport in Raleigh is very close to where Reck/Grimm/Nuwen live and we can arrange transportation then. We'd prefer for most people to arrive the morning of June 9th, though we can host a couple of people the night before if it makes it easier.

By Train

: The Cary, NC Amtrak station is only a few minutes from our house and we can arrange transportation there.

By Bus

: There's a bus terminal in Blowing Rock, NC -- that's the place in the mountains where we'll be staying.

leaving Raleigh no later than 1PM

to ensure we have ample time for the first night. Currently, we have limited transportation space, so if anybody else can

FWIW, I won't be able to really accept potential /ins or anything to this. It'll have to be like... once we have an idea of people's interest, I pick the place, and then we require people to submit their deposit to me ASAP to confirm their /in so I can go ahead and put the money down on a place. And if you wind up backing out, then we can send you your money back when someone takes your spot.

I'm not cushioned enough right now with my recent move depleting my savings to put up the entire amount myself, so we'll need everyone to pitch in to confirm. People are more than welcome to volunteer to cover other people's costs or donate to the general rental amount to subsidize the cost for everyone else if they want.

Dates

The overwhelming majority of people can make it either weekend. However, there's a very close split on availability per weekend. As in, right now, it's still dead tied on number of people who would be available one weekend over the other. Still up in the air. I'm going to probably have to make a judgment call here pretty soon based on pricing per weekend. I'd imagine July 4, being a holiday weekend, will be considerably more expensive, which is making me lean towards June.

Pricing

The majority of people are good for a rental costing up to $200 per person, though a sizable chunk of the remainder said $150, so I will attempt to lock in a price at $150-200 per person.

On that note, most people have shown they are willing to pitch in to help cover the cost of fuel, transportation, and supplies for the game (not including food for the weekend). I will probably ask for about $20 per person and subsidize the rest of the costs myself. My current estimates are showing that it'll cost about $250 in game supplies alone, not counting transportation. If we wind up having to rent a van or something to get there, this amount will change.

Also: MOST people support some kind of player buy-in fee, to go into a cash purse for the winner of the game, but it's a pretty even split. Let's get discussion going on that -- what kind of buy-in amount is reasonable, and what kind of payout should we see? If we did $15/person entry fee, then we could have a prize pool of $240, which could be split up among the finalists somehow?

LODGING

Most people are okay sharing a bed with anyone and if not, people have volunteered to bring air mattresses to fill out floor space. I think we can finagle it where people will be able to sleep on something comfy and not on the floor! However, it'll be tight spaces, and with that many people, everyone will need to make sure to pack up their shit when they wake up so we actually have room to maneuver.

GAME STUFF

Overwhelmingly, people are okay doing the whole "no speaking to other tribes" thing. I will try to design the game to make this as painless as possible, as I know restricting communication for more than like one day is going to be pretty difficult! My current plan is to try and get through the tribe phase at least by midday on the second day, maybe that evening, so that people have Friday night + Saturday + Sunday + Monday morning / car ride Monday to get to know people. I'm going to try to get people to my place by like Thursday morning? That way we have some relaxation time before the road trip to the mountains. I am also considering finding a way to divide starting tribes among the vehicles making the trip up the mountains to keep things nice and realistic

We'll be doing physical challenges.

Regarding timing, I'm going to try to leave the majority of the last day and a half (so Sunday into Monday) for freely hanging out, and will try to have the Survivor game wrapped up by Saturday night, or at least Sunday afternoon. But

, if things get stretched out, people need to be in it to win it! I don't want to get to a point where we've all put this time and money into this thing and have a couple of people throw fits over being "over it" and ruin the game experience.

I will probably have a good mix of the challenge types. The only concern is the gross food challenge -- if I do something like that, I can try to keep dietary restrictions in mind, but I can't cater to everyone. In those situations, I would usually just assume it'd be a "forfeit" if you, for example, don't eat meat and have to eat a gross meat product. But I'm open to discussion on this one, and am also open to just trashing the idea altogether if we think it'd be too much.

And I just checked -- the house with the big gaming room (Option 4) in the basement is only available June 9 - 13 @ $297/night.

Option 2 (Mountain Lodge) goes from $600 to $615/night.

Option 3 (Big Ass House) is only available July 4th weekend @ $490/night.

So... yeah. We're restricted by which house we want to use. Option 4 was my preferred one because of the large gaming room that could be used for challenges. Option 2 is way more expensive than the other options. Option 3 isn't as expensive but lacks the gaming room.

However, I've watched the availabilities of these houses get sucked up pretty quick. So we need to make a call, collect the money, and book it within the next couple of weeks.

Funds won't leave the Google Wallet account until I have enough to book the place. At which point, you're locked in for the trip -- if you have to back out, we'll find someone to take your place and refund you after they have put in their deposit.

I talked to the owner of the house. It sleeps 15 comfortably across 8 beds, she says, so anyone over the 15 bed cap will either take floor, or she said there's AMPLE space for air mattresses, etc.

Also, we're discussing possible transportation options right now. It's going to be impossible for me/Nuwen/Grimm to transport everybody in our cars (we can fit a total of 10 other people besides us, which still leaves us 6 people short), so if you're driving, that would be amazeballs. If you're not driving, and you're taking a bus, you can bus directly to the terminal in the mountains. If we don't have room for everyone, we'll have to rent a van or two, which I would expect to be split between all attendees. Everyone should also try to keep luggage to a minimum, as it's hard to really fit 19 different sets of luggage in a car.

So here's the deal: I am waiting on a few more payments to go through.

Untrod Tripod sent me payment tonight, and was the 16th person. However, T-Bone had tried to send it to me earlier and it failed and I did not see it go through. So I included both in the cap -- including the extra mod spot reserved for SleepyKrew. So right now, we're at 20 people total.

UT is unsure he'll be able to go since he may be playing at a band camp in Arkansas this Summer. I'm undecided on whether to raise the cap or not.

Here's the important thing:

People on the player list already are locked in.

I'm going to put down the reservation on the cabin as soon as the Canadian payments have come through and I have enough money.

I will consider accepting people above the limit, since we have interest. However, if I do this, those people will be expected to sleep on the floor -or- in a bed with an already confirmed player. Additionally, if I commit to more people, that will mean MORE money committed on my part. I want to make sure those people are serious about this, because if I buy more supplies, etc, for more people, then that means we'll need people to stick around.

It also means people that already committed cannot have their deposit back so easily. The idea of a "wait list" was because I expect at least one or two people to cancel on me.

I'll let y'all decide how to handle it. I want Ceph & hiplop to come. I want anyone who wants to attend to actually come to this thing. But we're capped on space, and with taking people's money for this, it makes it weird.

What I can do is create a giant pool. Anyone who pays into it can come and I'll dole out sleeping arrangements. However, if we raise the limit, here are the potential concerns:

#1) Sleeping space will be limited.
#2) The amount of time dedicated to this game will be increased, because that means more rounds.
#3) Transporation will become a bigger issue. Anyone who signs up over the cap will be expected to get their own way to the cabin itself, as I want to avoid renting a van if possible.

Anyway: Raleigh's gonna be a clusterfuck and we're gonna have to take both my Prius (with one spot for a ridealong + rest of car for luggage/supplies) and then probably rent a van. Nope -- need it for five days (Thurs thru Tues) and after you have it five days it's a "weekly" rental so you have to pay for a full week (this was for a van).

I think we solved it, though. UT said he wouldn't mind driving people back from the meet, so if we have OGML to drive people there and UT to drive people back, we'll be fine.

AFAIK: BPC's crew + Axxle will be staying with UT the night before. Raleigh locals will be at their own houses, Cybele will crash with mollie, BBM + DeathNote are crashing at my place. BROseidon & OGML will be showing up the morning of the 9th, then we'll all load up the cars and head out around 3PM from Raleigh, which will put us arriving at the cabin around 6:30pm. Others driving should plan to meet us between 6-6:30 at the cabin. Gamma will be the last arrival at 7PM, and then we will begin the game around 7:30PM. The first night of the game is going to feel a bit like a sprint and might take us into the later hours of the evening, so I'll give people ample time to sleep in Friday (won't start the games on Friday till about noon). My current timeline has us being done with the Survivor game by Saturday evening, which will give us Saturday night + all day Sunday to just chill, and we have to be out of the house by 10AM on Monday morning.
